Plug & play: the truth about integrating finance into legacy ERPs

Modern APIs and legacy systems don't speak the same language. The gap is semantic — and deeper than it looks.

Sales decks show clean diagrams, smooth arrows between systems, and optimistic timelines. Operational reality is different: ERPs with years in production connected to event-driven financial infrastructure and modern APIs. The gap is real, and it's deeper than it looks.

The problem is semantic, not syntactic

Modern financial APIs use JSON and HTTP. Many Brazilian ERPs still operate with batch remittance files, outdated SOAP protocols, or fixed-width text files processed in batches. Format conversion is the easy part.

The real problem: what counts as a completed transaction for a banking API can differ from what counts as an accounting entry in the ERP. That semantic divergence creates inconsistencies where the financial system confirms the payment, but the ERP doesn't recognize the operation because of formatting requirements.

The real-time fallacy

Fintechs operate in real time. Legacy corporate systems run on overnight cycles or specific reconciliation windows. When payments go out in milliseconds but take hours to be confirmed in the ERP, gaps open up where the money left but the product wasn't released — demanding constant manual intervention.

The invisible cost of data cleanup

Regulated financial institutions require impeccable registration-data hygiene to comply with anti-money-laundering rules. Legacy databases are full of errors, non-standard abbreviations, and creatively filled-in fields.

APIs reject transactions not for lack of funds, but for an invalid character in an address or a malformed CNPJ. Projects planned for weeks turn into months of unbudgeted data cleanup.

Integration is a living organism

The biggest illusion of plug & play is imagining that integration ends at launch. It doesn't. Updates, security-policy changes, and volume growth inevitably shift the dynamics. Integrating distinct generations of technology demands continuous maintenance, active monitoring, and responsive teams.
